Implementation of MASTER Electronic Document Management at Ukrainian Helicopters

Ukrainian Helicopters, a Kyiv-based aviation company specializing in peacekeeping, rescue, and humanitarian operations, successfully implemented the Ukrainian-made software MASTER: Document Management. Comprehensive Solution in partnership with cloud provider GigaCloud.

Challenge

Previously relying on paper-based workflows, the company faced challenges due to dispersed teams, including a warehouse abroad, which made daily document processing inefficient and less secure. The need arose to transition to a unified, secure, and functional electronic document management system that could also integrate accounting, HR, and payroll functions on a single platform.

Solution

The transition to the MASTER system began in summer 2023 with collaborative consultations to tailor the software to the company’s needs. Key features that matched their requirements included:
– Efficient electronic document processing with qualified electronic signatures (QES) and integration with e-document exchange services;
– A centralized digital workspace for incoming, outgoing, and internal documents with access controls;
– Automated document routing, version control, and history tracking for enhanced security;
– Mobile applications such as SmartManager for on-the-go approvals and task management.
– GigaCloud provided reliable cloud infrastructure to host the system, ensuring scalable and secure operation.

Results

After six months of use, Ukrainian Helicopters reported:
– Saving 5-6 hours per week on document registration, processing, approval, and search;
– Processing individual documents in under a minute;
– Mobile document review and signing without the need for desktop computers;
– Enhanced collaboration across locations through a shared information space;
– Reduced costs on stationery and postal services.

Future Plans

The company is currently scaling the system and expanding user access, with plans to extend MASTER’s capabilities to accounting, HR, and payroll management.
